When a topic or speaker is popular, session rooms can fill quickly and attendees who didn’t get a seat are disappointed; often impacting the conference’s satisfaction scores. Offering engaging solutions for overflow sessions is critical to ensuring your attendees are getting all the content they came for and leave satisfied with their show experience.
For IT Nation the Freeman team created a large LED wall in a lounge area with 5 picture-in-picture screens delivering live content streaming from 5 different sessions. Utilizing supplied headphones attendees could easily tune into the session of their choice. To make sure the right sessions were broadcasted on the screen, Freeman built an operator dashboard into the signage so technicians could switch to the at-capacity rooms and immediately stream the capacity speaker presentation. For keynote speakers, the operator would switch to one large master display.
Since overflow rooms are often an afterthought, those unlucky shutout attendees traditionally don’t experience same quality interaction with the speaker’s presentation. By planning for full rooms and creating a convenient and impactful experience, attendees were able to watch all
presentations remotely, on-site, with live content on a crisp LED display. Attendees were able to gain access to additional and flexible learning opportunities, while simultaneously elevating IT Nation as an innovator in show experience for its attendees.
