Online Exhibit Contract Management Saves Time and Boosts Cash Flow

a2z, Inc. of Columbia, Maryland provides cloud-based event management and marketing tools that grow tradeshows and conferences by accelerating booth sales, helping boost revenue, and enhancing engagement and value for event participants. a2zShow, an Online Exhibit Contract (OEC) Management platform enables exposition managers to execute exhibitor contracts online.

With a2zShow, exposition managers can choose one or more separate workflows: Booth Space Application, Consultative Exhibit Sales, or Online Booth Reservation. The multiple-contact collection feature allows organizers to collect and confirm the roles of participants from an exhibiting company. Configurable, on-demand reporting gives show management all its sales and floor plan data at the click of a button. a2zShow also provides analytics across multiple shows from year to year.

a2z’s OEC Management system automates, expedites, and increases exhibit space sales. Secure electronic contracts eliminate errors and dynamic pricing and deposit collection help to differentiate pricing on the exhibit floor or for specific companies based on particular attributes. The platform saves 30-60 minutes of processing time per exhibitor and increases revenue by 1% to 3% using dynamic value-based pricing.

The United States Institute for Theatre Technology (USITT) held its 58th Annual Conference & Stage Expo in Fort Lauderdale, Florida in 2018. The organization wanted to make onsite booth space selection for the 2019 event completely digital. a2z assisted them in designing an automated, exhibit sales process to streamline the rebooking procedure and minimize exhibitors’ time away from the booth.

USITT gave exhibitors appointments for rebooking onsite. When company representatives arrived to the selection area at the appointed time, they consulted with an account executive to reserve booth space and then proceeded to an online contracting station where members of the USITT team assisted them with completing their digital contracts and submitting their deposits. The process was quick and efficient. USITT completed the rebooking process for over 200 companies in a single day, which also increased cash flow for the association.
